Multinational corporations face steep challenges managing workforce mobility tasks across many regions. For our client, an international retail chain operating across Europe, this meant adeptly navigating regulatory compliance, aligning with local cultures, and tackling multi-jurisdictional tax and reporting requirements.
To address and simplify its cross-border and global mobility issues, the company partnered with Vialto to implement our comprehensive end-to-end tax and immigration solutions focused on solving cross-border and global mobility issues. Since our collaboration began, we have harnessed Vialto’s technology and expertise—especially myMobility, myAtlas, and myTrips—to help create a more efficient and compliant mobility program.
Our long-standing, close collaboration has improved efficiency, strengthened compliance, and helped our client not only meet the unique challenges of a mobile workforce, but also contributed to establishing a successful, time-tested global mobility program.
Together, we optimized assignment policies to align them with the growing need for talent. Deep collaboration on policy wording, along with Vialto expertise and benchmarking, resulted in mobility policies that prioritize employee experience and equity. We also helped the client create effective policies to address intragroup transfers, including new use of virtual assignments and commuter arrangements in key locations across Europe.
We created an innovative and cost-effective integration between the client’s assignment management platform and Vialto’s myMobility technology that streamlines input and management of scheduling information and minimizes human error. In addition, the integration efficiently and automatically transfers information to the myMobility system, at which point Vialto initiates services to the client’s mobility team.
The client now uses Vialto’s myTrips technology to pre-assess business travel requirements globally. The technology helps the global mobility team review and manage visa requirements, travel restrictions, and any constraints on the work to be performed, flagging issues and anomalies for review to ensure immigration compliance.
The sheer number of employees and corresponding immigration compliance and Right to Work checks required an annual audit of all the client’s UK immigration processes, including Right to Work checks for new employees and sponsored workers. This external review helps connect all teams involved and offers an opportunity to jointly focus on improvement areas.
What part did Vialto play in helping the client’s mobility program succeed? In large part, it was the enduring collaboration with the client. We embedded Vialto employees in the client’s offices to complement routine onsite visits from additional Vialto personnel. The result: a unified team that advanced business-critical objectives in immigration, tax compliance, payroll, assignment management integration, and Posted Workers Directives compliance.
During a 12-month period, the team used myTrips to analyze 6,300 trips taken by 1,000+ employees. We also vastly improved the efficiency of compliance processing. The client now uses the data to complete Posted Workers Directives registrations proactively.
Vialto also assisted the client in implementing an annual review of its employees’ HMRC (HM Revenue & Customs) accounts using our HMRC account bot which resulted in positive outcomes for the client. The client also completed HMRC filings earlier than ever and recorded zero immigration citations.
Together, we expanded the client’s ongoing training program for their mobility team. The training modules covered a range of critical topics, including global and UK immigration risk markers, sponsored worker regulations, social security updates, global policy trends, and alerts on Posted Workers Directives.
Today, the client has an elevated mobility program that includes technology-driven and automated process management. The project has generated tangible results: a more knowledgeable mobility team, increased efficiency, and stronger compliance.
Driven by our commitment to continuous improvement, we partnered with the client to monitor shared KPIs. Our quarterly KPI (key performance indicator) review found that we had jointly identified and resolved 46 improvement areas through a period of 12 months.
We accelerated improvements quickly, leading to elevated client experience and assignee satisfaction.
